Customer Background
Penmac Personnel Services was founded by owner Patti Penny in 1988.
Headquartered in Springfield, Missouri, the firm has since exploded
into a forty-three branch operation in seven states. With a primary
focus in Light Industrial placement, Penmac also offers staffing
services for the Clerical and Transportation industries. Nearing
the $100 million revenue mark over the last few years, Penmac's
goal is to push past that mark in the future.
Situation
Printing over 700 invoices a week, Penmac realized its need for a
more efficient and time-saving method of delivering invoices to
customers. Employees were spending numerous hours each week
printing, folding, stuffing, sealing, labeling and stamping the
printed invoices. In a single year, labor costs alone for these
tasks accumulated to $7,164. Postage cost the company nearly
$14,000 a year. In addition, the traditional mailing method often
left a five-day gap between the time that the invoices were
processed to the time that they actually reached the client.
Solution
Penmac turned to TempWorks for a solution to their invoice delivery
drawbacks. Recognizing that the EDDS (Electronic Document Delivery
System)- Invoice Module would eliminate the pains associated with
their current method, Penmac made an immediate decision to
implement the solution. Directly following, Penmac announced the
new process method with its next batch of customer invoices. Soon
thereafter, customers expressed their desire to receive invoices
electronically. Because it creates PDF file invoices that can be
instantly emailed to multiple recipients, the EDDS- Invoice Module
reduced direct mail expenses and invoice delivery time (which meant
that payments were received faster).
Result
In the first two weeks of using the product, Penmac sent 271 (18
percent) of its customer invoices using the EDDS- Invoice Module
and significantly cut the labor involved by 40 percent. In the
first year alone, Penmac's savings estimated nearly $21,000. The
number of emailed invoices has now grown to 561, or 70 percent of
total invoices.
Customers receive their PDF invoice moments after the 'send' button
is clicked, so the invoices are delivered to the correct person
instantly. Penmac feels that people give a higher priority to email
messages versus traditional mail, so the emailed invoices receive
increased attention and are processed at a faster rate. Penmac has
also seen a decrease in late payments with clients who have opted
to use this method.
Taking the EDDS- Invoice Module capabilities even further, Penmac
recently set-up the ability to fax invoices using the system. The
generated email simply goes to Penmac's fax server where the PDF
invoice is converted to a fax and automatically sent.
The majority of Penmac's clients have chosen to make the switch,
and Penmac hopes that 100 percent of their customers will
ultimately use the EDDS- Invoice Module.
