Healthcare Staffing Software

What components are necessary to operate a profitable healthcare staffing company?

Begin the list with capital, payroll funding and robust resume and credentialing capabilities. Add efficient timecard and schedule-tracking software that maps directly to payroll and an effective customer relationship management system. Finish with full integration of all processes.

TempWorks healthcare staffing software and services for staffing agencies provides those features, fully integrating all front office and back office processes into one powerful, scalable solution.

Healthcare recruitment is a complex, challenging field. Let us handle the background operations, so you can concentrate on building an excellent pool of talent and maintaining strong customer relationships.

Software solutions for staffing doctors, nurses and allied health professionals

Healthcare recruiting encompasses everything from physician recruitment (permanent or locum tenens), per diem nursing (the largest category), travel nursing (nurses from a low-income area travel to a high-demand area) and allied healthcare specialties like PT (physical therapy) pharmacists and CNAs.

Customers range from the largest hospitals (John Hopkins) to regional hospitals, private clinics, nursing homes and the fastest growing area, home-care. A staffing agency will typically focus on a narrow segment of that industry.

In response, TempWorks has developed staffing software solutions for specific niches of the healthcare field:

Risks unique to healthcare staffing

High-risk accounts receivables. Many hospitals and nursing homes pay their vendors very slowly. Medical billing needs to follow complex coding practices established by Medicare, Medicaid and private insurers payment is often refused if that coding is incorrect.

As healthcare institutions struggle to respond to changes in regulation and the economy, staffing vendors are not given primary attention. Institutions with the latest patient-care technologies often continue to use outdated accounting software. And there are a growing number of payers and providers filing bankruptcy.

TempWorks staffing software speeds the payment process. Your employees and customers will have immediate access to current data. The system automates payroll, payroll funding and invoicing. Electronic invoices can be sent to multiple parties for approval. The robust customer relationship management system allows your account representatives to monitor customers and resolve issues quickly.

Complex credentialing requirements. TempWorks healthcare staffing software matches employee to job order, quickly verifying that licenses and certifications are current and adequate for the position.

Complex pay structures. Nursing shift differentials, daily staffing requirements, benefits, and other factors create a complex payroll processing environment, putting a staffing company at risk of slow or inaccurate invoicing. With TempWorks staffing software, healthcare providers have instant access to accurate payroll and billing records.

Provide vendor management services for your large client

Consider providing vendor management services (VMS) for a large customer. With TempWorks Vendor Management System, you can effectively manage external staffing vendors, processing requirements from department heads for each shift, distributing job orders to preferred agencies and handling all billing and accounts payable.

Healthcare staffing software for your start-up or established agency

With our one-stop healthcare staffing solution, you eliminate non-revenue generating accounting and IT staff. TempWorks provides training and 24/7 customer support, and our software will grow gracefully with your company. You will be free to concentrate on your recruiting business.

ConTemporary Healthcare Solutions

Healthcare Staffing Customer Profile

Leading By Example

Mary DeChristopher, owner of ConTemporary Healthcare Solutions, isn’t your typical business executive.  She possesses a great amount of dedication and a high level of commitment to stick to a business philosophy she truly believes in. Although it isn’t always easy, for Mary, it’s worth it knowing she has made a difference in people’s lives.

As the owner of a vibrant and successful healthcare staffing firm, Mary contributes her success to a wealth of past experiences, unique opportunities, and a currently booming industry.

Experience into a Work of Art

After graduating from nursing school in 1990, Mary obtained a job working as an ICU nurse in a hospital. Soon after that experience, she worked with a few staffing agencies and expanded her skills through placements as a traveling nurse and a Per Diem nurse.

An interesting opportunity surfaced while working for one of these small firms; she was offered a job doing marketing and recruiting for the agency. The short-term job turned into a permanent position and Mary gladly embraced the opportunity to try her hand at different positions within the company.

Within sixteen to eighteen months, she played a leading role in the company’s explosive growth. Assignment hours skyrocketed from approximately two hundred hours a week to sixty-five hundred hours a week.

While she reveled in her accomplishments, Mary was forced to face the conflicting business strategies between her and the owner. She strongly believed in providing quality care to customers and the patients they would ultimately serve, while making sure the nurses’ needs were well taken care of. Her employer, on the other hand, ranked high-growth and profits as more important.

Unwilling to sacrifice her principles to satisfy his financial goals, she turned in her resignation.

If You Want it Done Right, Do it Yourself

Persuaded by the many around her who knew she could do it, along with her own determination to provide quality care that would make a difference in the industry, Mary decided to start her own nurse-staffing firm. In 1997, just a few months after leaving her previous employer, ConTemporary Nursing Solutions was born.

Business took off like a rocket, thanks to the many nurses and customers she previously worked with who chose to follow her and, in turn, benefit from her philosophy.

She remained diligent and focused, even when her ex-employer did his best to shut down her business. She proved to be a resilient force against competitive issues, which only further instigated her desire to provide even higher quality benefits to her nurses.

ConTemporary was the first nurse staffing firm in the area to offer benefits such as 401k, disability and dental. In addition, nurses are paid premium rates for their services. Knowing the competition is fierce and relentless, ConTemporary goes the extra mile to attract and retain its nurses. It offers several pay options such as hourly pay, direct deposit and pay cards.

In addition, it offers CEU credits and “Dedication Rewards” -- quarterly bonuses presented to employees to show appreciation for their loyalty. In its first 9 months of business, ConTemporary Nursing Solutions reached $1.3 million in revenue.

As it stands today, it generates in excess of $20 million. ConTemporary Nursing Solutions is a Per Diem and Contract staffing provider, with the recent addition of an Allied Services division. The increase for the new division’s services stems from the aging population.

The creation of the Allied Services division was driven by local customer demands.

Headquartered in Virginia, ConTemporary currently runs two staffing offices operating 24/7 and one administrative office. The Virginia and Baltimore offices account for forty staff members. Nurse staffing is a hard industry to work in and typically renders high burnout rates, but many of ConTemporary’s front line employees have been with the company for six plus years.

Most employees have a background in healthcare and several others are currently enrolled in nursing school

What the Future Holds

Mary acknowledges that while hospitals are expanding and have increased demand, the industry itself is constricting as hospitals have significantly cut-down their staffing vendor lists. She realizes that ConTemporary will need to expand its services to convey a “one stop shop” offering in order to stay in the game.

ConTemporary’s latest plans include creating a Private Duty Nursing service. The Washington Metro area is affluent, where hired personal nurses are in high demand. The service is for patients in the hospital wanting personal care.

The competition is always a threat, but now a new player has entered the field -- hospitals, themselves. These resourceful customers have brought competition to a new level, as they prey on temp nurses and attempt to hire them on as permanent staff.

To counter this notable issue, ConTemporary has expanded its services to include Direct Hire and Permanent Placement, now utilized to tighten contract terms between hospitals and it.

Whatever the industry throws at her, Mary is ready. Her “never fail” attitude arms her for any challenge and she is excited about the opportunities the future of healthcare staffing holds.
